Refund & Cancellation Policy

VenueExchange is a venue discovery and RFP platform. This policy explains how cancellations, booking-related matters and refunds are handled while using the platform.
1. Overview
VenueExchange connects corporates, event planners, agencies and procurement teams with venue partners for meetings, conferences, offsites, training programs and corporate events.
We facilitate venue discovery, requirement sharing and proposal collection. VenueExchange does not currently process venue booking payments or act as a contracting party between users and venues.
This Refund & Cancellation Policy explains how cancellations, refunds and booking-related disputes are handled.
2. No Platform Fees
VenueExchange currently does not charge users a fee for:
- Browsing venue listings
- Searching and filtering venues
- Submitting venue requirements
- Creating and sending RFPs
- Receiving venue proposals
- Communicating with venue partners through VenueExchange
As VenueExchange does not currently charge platform fees for these services, refunds from VenueExchange are generally not applicable.
3. Venue Bookings & Payments
VenueExchange acts as a facilitator between clients and venue partners.
Any commercial arrangement is entered into directly between the client and the venue.
- Venue rental charges
- Advance deposits
- Food and beverage commitments
- Accommodation charges
- Vendor or event-related expenses
Refund eligibility, cancellation charges and payment disputes are governed solely by the terms agreed between the client and the venue.
4. Venue Cancellation Requests
If you wish to cancel a venue booking, you should contact the venue directly and follow the cancellation terms agreed between you and the venue.
VenueExchange may assist in facilitating communication where reasonably possible, but cannot enforce refunds, waivers or exceptions on behalf of venue partners.
5. Event Postponements
If an event is postponed rather than cancelled, VenueExchange may assist in coordinating discussions with the venue regarding alternate dates and availability.
Any revised pricing, deposits, availability or cancellation conditions remain subject to the venue's policies and approval.
Assistance provided by VenueExchange does not create any obligation on a venue to approve revised dates, waive penalties or provide refunds.

Receive Venue Proposals
Compare proposals and evaluate venue options.
Finalise Terms Directly
Booking and payment terms are agreed directly with the venue.
6. Future Paid Services
VenueExchange may introduce premium sourcing services, subscriptions, booking management tools, payment facilitation or SaaS offerings in the future.
If paid services are introduced, separate refund and cancellation terms will be published and made available before purchase.
7. Disputes
Disputes relating to venue cancellations, booking deposits or refund claims should initially be resolved between the client and the venue partner.
Users may raise concerns through our Grievance Redressal process if they believe VenueExchange has not fulfilled its obligations as a platform facilitator.
Important Notice
VenueExchange acts as a venue discovery and facilitation platform. Venue booking contracts, payment obligations, cancellation terms and refund eligibility are determined by the respective venue partner unless expressly stated otherwise.
