VenueExchange (also known as Venue Exchange or VenueXchange) is a corporate venue discovery and procurement platform operated from Mumbai, Maharashtra, India.

2. Information We Collect

We collect information in the following ways:

Information you provide directly:

  • Full name and contact details (email address, mobile number) when you submit an RFP or contact form
  • Company name and designation when provided
  • Event requirements including event type, date, headcount, budget and special requirements
  • Messages and correspondence sent to us via the contact form or WhatsApp

Information collected automatically:

  • Browser type, device type and operating system
  • IP address and approximate geographic location
  • Pages visited, time spent on each page and navigation paths
  • Referring website or search query that brought you to VenueExchange
  • Google Analytics data (anonymised usage statistics via GA4 — ID: G-X90ZECW822)

3. How We Use Your Information

We use the information collected for the following purposes:

  • To process your venue requirement and match you with suitable venues
  • To contact you with curated venue proposals and follow-up communication
  • To respond to your enquiries via email, phone or WhatsApp
  • To improve the platform — understand how users navigate and where improvements are needed
  • To send service-related communications (not marketing emails without consent)
  • To comply with legal obligations under applicable Indian law

We do not sell your personal data to third parties. We do not share your information with advertisers.

4. Sharing Your Information

We may share your information only in the following limited circumstances:

  • With venue partners: When you submit an RFP, relevant venue details (name, event type, headcount, date) may be shared with shortlisted venue partners to enable proposal generation. Your personal contact details are shared only with venues you confirm interest in.
  • With service providers: We use Web3Forms for form submission processing and Google Analytics for usage analytics. Both are bound by their own privacy policies.
  • With law enforcement: If required to do so by applicable Indian law, court order or government authority.
  • With your consent: For any other sharing not described above, we will ask for your explicit consent.

5. Cookies & Tracking

VenueExchange uses cookies and similar tracking technologies to improve your experience.

  • Essential cookies: Required for the platform to function correctly. Cannot be disabled.
  • Analytics cookies: Google Analytics (GA4) helps us understand how visitors use the site. This data is anonymised and aggregated. You can opt out via Google's opt-out tools.
  • No advertising cookies: We do not use cookies for retargeting or advertising purposes.

By using VenueExchange, you consent to our use of cookies as described above. Most browsers allow you to refuse cookies — refer to your browser settings.

6. Data Retention

We retain personal data only for as long as necessary to fulfil the purpose it was collected for, or as required by law.

  • RFP and enquiry data: Retained for 24 months to enable follow-up and service improvement
  • Contact form submissions: Retained for 12 months
  • Analytics data: Retained per Google Analytics default settings (14 months)

You may request deletion of your data at any time by contacting us at founder@venueexchange.in.

7. Your Rights

Under applicable Indian data protection law, you have the right to:

  • Access: Request a copy of the personal data we hold about you
  • Correction: Request that we correct inaccurate or incomplete data
  • Deletion: Request that we delete your personal data
  • Withdrawal of consent: Withdraw consent for data processing at any time
  • Grievance: Lodge a complaint with us via our Grievance Officer

To exercise any of these rights, email us at founder@venueexchange.in with the subject line "Privacy Request". We will respond within 30 days.

8. Data Security

We implement reasonable technical and organisational measures to protect your personal data from unauthorised access, loss or misuse. Our platform is served over HTTPS and form submissions are processed via encrypted channels.

However, no method of transmission over the internet is 100% secure. We cannot guarantee absolute security and encourage you to use strong passwords and exercise caution when sharing sensitive information online.

9. Third-Party Links

VenueExchange may contain links to venue partner websites, hotel booking pages and external resources. This Privacy Policy applies only to VenueExchange. We are not responsible for the privacy practices of linked third-party websites.

10. Children's Privacy

VenueExchange is a B2B corporate platform intended for use by adults in a professional capacity. We do not knowingly collect personal data from individuals under the age of 18.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date at the top of this page. We encourage you to review this policy periodically.

Continued use of VenueExchange after any changes constitutes acceptance of the updated policy.
